Managing Outlook Junk Email Folder

Managing Outlook Junk Email Folder

Important Email System Message

Our new Email security solution automatically attempts to remove spam, phishing, malicious URLs and attachments from mailboxes - however this system does NOT protect users that send or receive email outside of the smu.ca email system.

What is different?

The new email security solution implemented at SMU, now drops suspect emails into the ‘Junk Emails’ folders. This is a new action that was not done previously.
It is therefore important that users check their ‘Junk Emails’ folder for mis-identified emails. By marking mis-identified email as ‘not junk’ it teaches the system and ensures future emails from those senders are delivered to your Inbox.

1.) Junk Email (Desktop)
While the new system is ‘learning’ it is recommended to check your ‘Junk Email’ folder periodically to ensure no legitimate emails have been identified as spam (malicious email content will continue to be automatically removed).

Should you find an email that should NOT be marked as ‘Junk’ - simply right-click the email and choose
junk -> Not Junk from the menu (diagram below).  This will move the email back to your inbox and will ‘teach’ the system to put future emails from that sender into your inbox instead.

2.) Junk Email (Mobile)
Similar to Desktop, your ‘Junk Email’ folder can be checked from Mobile. EIT recommends Microsoft Outlook as the email client on Mobile devices. (If you are using a different Mail Application, then these instructions may not work.)

Within the Outlook App, click the Inbox Icon

This will display the list of email folders

Click the ‘Junk’ folder – to view the messages in that folder.

If you spot an email that should NOT be in Junk (click the email)
then click the 3 dots.

Choose Not Junk from the menu. This will move the email back to your inbox and will ‘teach’ the system to put future emails from that sender into your inbox instead.
